Privacy Policy
Effective date: June 8, 2026
This Privacy Policy explains how VidiaLearn ("we," "us," or "our") processes personal information when you use our website and services. VidiaLearn is in Beta and moving toward MVP; we will update this policy as the product and our data practices evolve.
1. Summary
Short version: our public website sets no tracking, advertising, or analytics cookies. We measure traffic with a privacy-friendly analytics tool that does not store your IP address and cannot identify you. If you join our early-access list, we store the email address you give us so we can tell you when VidiaLearn launches. Details below.
2. Information We Collect
Information you provide. If you join early access, we collect your email address. If you create an account or contact us, we collect the details you submit (such as name, email, and message).
Usage data (privacy-friendly analytics). We collect aggregate, non-identifying usage statistics — for example which pages are viewed and the approximate country/region of a visit — through Plausible Analytics. This data is not tied to a cookie and not tied to your IP address (see section 4).
We do not knowingly collect special-category data, and we ask that you not send it to us.
3. Cookies
Our public marketing site uses no cookies — no tracking cookies, no advertising cookies, and no analytics cookies. Because we set no non-essential cookies, no cookie consent banner is required for them.
The only cookie we use is a strictly necessary session cookie, and only after you log in to the application — it keeps you signed in and is required for the service to work. Strictly necessary cookies do not require consent under the ePrivacy/GDPR framework. You can clear cookies at any time in your browser.
4. Analytics (Plausible — no IP, no cookies)
We use Plausible Analytics, a privacy-first, cookieless analytics tool, to understand aggregate traffic. Plausible:
• sets no cookies and uses no persistent identifiers;
• does not store or log your IP address (it is used transiently to derive a coarse country/region and is then discarded);
• collects no personal data and cannot be used to identify or follow an individual across sites;
• processes data within the EU.
As a result we can measure visits, popular pages, and visitor regions without profiling anyone. The Plausible script loads on our production site only.
5. Early-Access Signups
When you submit the "join early access" form, we store the email address you provide (together with which page you signed up from and the site language, for basic segmentation). We use it solely to notify you about VidiaLearn's progress and launch, and we do not sell it or share it for advertising.
You can ask us to delete your email from the list at any time via our contact page; we will also include an unsubscribe option in any email we send.
6. How We Use Information
We use personal information to operate and improve the service, authenticate users, respond to your requests, send early-access and product updates you asked for, keep the platform secure, and comply with legal obligations. Analytics data is used only in aggregate, for understanding and improving the site.
7. Legal Bases (GDPR & Swiss FADP)
For visitors in the EEA, the UK, and Switzerland, we process personal data under the EU General Data Protection Regulation (GDPR) and the Swiss Federal Act on Data Protection (FADP / revFADP), on these bases:
• Consent — for joining the early-access list (you choose to submit your email); you may withdraw it at any time.
• Contract — to provide an account and the service you sign up for.
• Legitimate interests — for cookieless, non-identifying analytics and for keeping the service secure, balanced against your rights.
• Legal obligation — where the law requires us to retain or disclose data.
8. How We Meet Our Data-Protection Duties
We aim to honour core GDPR/FADP principles in practice: data minimisation (we collect only what we need — for early access, just an email), purpose limitation (we use it only for the stated purpose), storage limitation (we keep it only as long as needed — see section 11), privacy by design (cookieless analytics that never stores IPs), transparency (this policy), and security (section 12). We support the data- subject rights in section 9 and will notify the relevant authority and affected individuals of a qualifying personal-data breach as required by law.
9. Your Rights and Choices
Subject to applicable law, you may have the right to access, correct, delete, restrict, or port your personal data, to object to certain processing, and to withdraw consent where processing is based on it. EEA/UK/Swiss residents may also lodge a complaint with a supervisory authority (in Switzerland, the Federal Data Protection and Information Commissioner, FDPIC).
To exercise any right, contact us via our contact page. We may need to verify your identity before we act on a request.
10. US State Privacy Disclosures
Depending on your US state of residence (for example California under the CCPA/CPRA, plus Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws), you may have rights to know, access, correct, delete, and obtain a copy of your personal information, and to opt out of targeted advertising, sale, or certain profiling.
We do not sell personal information for monetary consideration, and our cookieless analytics involves no cross-context behavioural advertising. We honour applicable opt- out and deletion requests submitted through our contact page, and we will not discriminate against you for exercising your rights.
11. Data Sharing & Processors
We share data only with trusted service providers that help us run the platform — for example hosting (Render), analytics (Plausible), and email/communications — under contractual data- protection terms, and only as needed for them to perform their service. We may also disclose data where required by law or to protect rights, safety, and security. We do not sell your data.
12. International Transfers
Country of processing: Switzerland. VidiaLearn is established in Switzerland, and personal data is processed in Switzerland. Some sub-processors (for example hosting and analytics) process data on our behalf in the EU. Where personal data is transferred across borders, we rely on appropriate safeguards (such as Standard Contractual Clauses and adequacy decisions) as required by GDPR and the FADP.
13. Data Retention
We keep personal information only as long as necessary for the purpose it was collected. Early-access emails are kept until you unsubscribe or ask us to delete them, or until the early-access programme ends. Account data is kept for the life of the account plus any period required by law.
14. Security
We use technical and organisational measures to protect personal data, including encryption in transit (HTTPS), access controls, and data minimisation. No method of transmission or storage is completely secure, but we work to protect personal information appropriately.
15. Children's Privacy
Our services are intended for professional/workplace use and are not directed to children. We do not knowingly collect personal information from children under 16 (or the minimum age in your jurisdiction).
16. Changes to This Policy
We will update this policy as VidiaLearn grows toward MVP and our processing changes (for example when payments, additional integrations, or the LMS publishing layer go live). Material changes will be reflected here with a new effective date.
